We are looking for a detail-oriented RMA Specialist to manage return merchandise authorization (RMA) requests from customers. This role coordinates device returns and replacement shipments, supports customers throughout the process, and ensures accurate tracking of inventory and orders across Salesforce and SAP. The ideal candidate is organized, communicates clearly, and can collaborate effectively with Compliance and Logistics teams to resolve RMA-related issues.
Key responsibilities include:
- Process customer RMA requests and manage cases end-to-end in Salesforce.
- Coordinate the return of defective or unwanted devices and the shipment of replacement units.
- Send clear instructions to customers regarding the return and replacement process, and provide support if issues arise.
- Clarify case details with customers when additional information is needed.
- Collaborate with the Compliance team and Logistics team to resolve RMA cases and ensure policy adherence.
- Troubleshoot and resolve any issues related to RMA cases in a timely manner.
- Review and verify orders in SAP for accuracy and compliance.
- Monitor and maintain inventory records in SAP.
- Prepare and submit monthly RMA and inventory reports.
- Participate in testing new Salesforce features and functionality as they are released.
- Support quarterly regression testing of Salesforce prior to production releases.
- Leverage AI-powered tools and automation to streamline RMA case triage, response drafting, and data entry workflows.
- Use AI-driven analytics to identify trends in RMA volumes, common failure modes, and process bottlenecks.
Qualifications:
- Experience with Salesforce (case management) preferred; willingness to learn required.
- Familiarity with SAP or similar ERP systems is a plus.
- Strong attention to detail and organizational skills.
- Good written and verbal communication skills for customer-facing interactions.
- Ability to collaborate cross-functionally with Compliance and Logistics teams.
- Comfortable working independently in a remote environment.
- Proficiency with AI and generative AI tools (e.g., ChatGPT, Copilot, Salesforce Einstein) to enhance productivity and decision-making.
- Ability to evaluate and adopt emerging AI capabilities for process improvement and workflow automation.
Academic credentials:
Bachelor's degree in Engineering.
