Role Overview The NetSuite Systems Administrator is responsible for the day-to-day administration, configuration, support, documentation, and continuous improvement of Ashoka's global NetSuite OneWorld environment, with administrative support for NetSuite Planning and Budgeting (NSPB). This role will help strengthen the existing environment while supporting continued rollout, remediation, and standardization of financial systems and processes across the global organization. Global Implementation & Standardization • Support continued implementation, and expansion of NetSuite across countries and entities not yet fully operating on the platform. • Partner with Finance and country teams to understand existing financial processes, systems, reporting requirements, and local constraints. • Translate approved requirements into entity setup, chart-of-accounts mappings, currencies, accounting periods, dimensions, intercompany structures, approval workflows, Multi-book and multi-currency configuration, and other system structures required for international operations. • Support data migration, testing, validation, user acceptance testing, cutover, and post-implementation stabilization. • Help establish standardized global processes while appropriately accommodating necessary local requirements. • Identify opportunities to reduce reliance on spreadsheets, manual processes, and disconnected local systems. Finance Process & Reporting Support • Partner closely with Accounting, Budget & Planning, Treasury, and Finance leadership to improve the effectiveness of NetSuite-enabled financial processes. • Support month-end and year-end close processes by troubleshooting system and data issues and improving workflows. • Develop and maintain saved searches, reports, dashboards, KPIs, and other tools that improve financial visibility and decision-making. • Support multi-entity consolidation, intercompany accounting, foreign currencies, and global financial reporting. • Help improve the timeliness, consistency, and accuracy of financial information received from country offices. • Assist Finance leadership in developing better visibility into cash, spending, budgets, forecasts, and other key financial information. Systems Improvement & Integration • Evaluate business requirements and translate them into practical NetSuite configurations and solutions. • Configure and maintain workflows, custom fields, forms, records, saved searches, reports, and dashboards. • Identify opportunities for automation and process improvement within NetSuite. • Support integration between NetSuite and other organizational systems, working with technical specialists where necessary. • Participate in testing and deployment of NetSuite releases, enhancements, integrations, and configuration changes. • Maintain appropriate change-management practices, including documentation, testing, approvals, and production deployment. Qualifications Required • Approximately 3-6 years of experience administering or supporting NetSuite in a complex organization. • Hands-on experience with NetSuite configuration, roles and permissions, workflows, saved searches, reports, dashboards, and system administration. • Strong understanding of core accounting and financial processes, including general ledger, accounts payable, accounts receivable, close, and financial reporting. • Experience supporting multi-entity or multi-subsidiary environments within a grant-making organization. • Familiarity with nonprofit accounting, fund/grant accounting, donor restrictions, or project/program reporting. • Demonstrated ability to diagnose systems and data problems and develop practical solutions. • Experience gathering business requirements and translating them into system improvements. • Strong analytical, organizational, documentation, and problem-solving skills. • Ability to manage multiple priorities and work independently while collaborating with geographically dispersed teams. • Strong written and verbal communication skills and an ability to work effectively with both technical and nontechnical colleagues. Experience with ML testing and validation, including dataset quality assurance, bias detection, edge-case scenario testing, and performance evaluation using statistical metrics. Ability to quickly learn and implement new concepts and utilize proprietary tools. Strong understanding of driving rules and regulations. Must have the ability to provide occasional on-call availability for evenings, weekends, and holidays, as well as the flexibility to attend meetings outside of standard hours to collaborate with our global team.
